Unless agreed otherwise, the following terms and conditions will apply to your booking. Please take the time to read them carefully and let us know if you have any queries.
Making A Booking
When you make a booking, you will be asked for an email address. It is important that you provide us with the correct email address as that is how the hotel will send you confirmations unless you specifically ask otherwise.
When your booking has been made, a confirmation will be sent to you via email using the address that you have supplied. Your booking will not be confirmed until card details and the necessary authorisation / payment / deposit have been provided.
Should you book with a third-party site, such as Booking.com, Expedia or any other online or high street travel agency, we cannot guarantee the room type or room number you will be allocated. If you have any special requirements or requests, please contact the hotel directly.
Paying For Your Booking
At the time of booking, we will take your debit/credit card details. Your card details will be retained and stored securely and will be used in the event of cancellation, no-show, booking reductions, non-payment, damage, removal, or for the payment of any other sums owed to the hotel. By providing us with your card details, you are authorising us to use your card for these purposes.
We accept payment by cash, Visa Debit / Delta, Visa Credit, Maestro / Switch, or Mastercard. Unfortunately, we do not accept American Express.
Any balance owing on your account must be paid on or before the morning of your departure. It is your responsibility to fully check and confirm that your departure invoice is correct. No amendments will be made after check-out and the payment made.
Price Match
We will match any rate for accommodation at Stone House Hotel that you find on any website, subject to the following conditions.
The rate must be from a legitimate source, for the same dates that you intend to come and stay, with the same package, room type and number of guests. You must be able to demonstrate to us where you found the rate and provide evidence of the rate (a screenshot will usually be sufficient). Notification of price match MUST be provided at the time of booking; no rates will be altered after the booking has been made.

Deposits and Refunds
For individual reservations and small group bookings (4 rooms or less): A non-refundable deposit of £50 per person per room booked will be taken to secure a booking (except Christmas and New Year where a larger deposit will be required).
Bookings made via a third party, such as an online travel agency, will require a non-refundable deposit of the full value of the applicable bed and breakfast rate for the full stay.
For individual and small group bookings cancelled before 3pm on the day which is 7 days before arrival, your deposit may be transferable at the discretion of management. For example, for a booking commencing on Saturday 15 July, you would need to cancel before 3pm on Saturday 8 July. If this is the case, we may agree with you to hold the deposit for a maximum of 6 months from the date of cancellation so that you may reuse it. If you do not reschedule a stay within this 6 month period, we will retain the deposit and no refund will be given or further deposit-transfer offered.
For large group bookings (5 rooms or more), functions, and exclusive hire:. A higher value deposit may be required, and this will be discussed with you when you book.
For large group bookings, functions, or exclusive hire events cancelled before 3pm on the day which is 28 days before arrival, your deposit may be transferable at the discretion of management. For example, for a booking commencing on Saturday 15 July, you would need to cancel before 3pm on Saturday 17 June. If this is the case, we may agree with you to hold the deposit for a maximum of 6 months from the date of cancellation so that you may reuse it. If you do not rebook within this 6 month period, we will retain the deposit and no refund will be given or further deposit-transfer offered.
If you have booked a non-refundable rate: Full payment will be taken at the time of making the booking, or shortly afterwards. This payment is non-refundable or transferable in the event of amendment or cancellation.
No-Show Bookings or Booking Reductions
If you have made a reservation and do not arrive at the hotel for your stay, your booking is considered a ‘No Show’. In this situation, the hotel will charge the full amount for the stay to your card. By making the booking and providing us with details of a payment card, you are giving us permission to take the full monetary value of your booking from the card.
If, within the relevant cancellation period set out below, or after the arrival date, you reduce the length of your stay, this is considered a ‘Booking Reduction’. In this situation, we reserve the right to charge either 50% or the full cost of the unused dates to your card, as applicable, based upon the cancellation timeframe below.
Cancellations
Should you need to cancel or reduce the length of your stay with us, we request that you contact the hotel’s reception team at the earliest opportunity. This can be done by calling 01969 667571 or emailing [email protected]. Your cancellation, or booking reduction, must be confirmed in writing, and your booking will not be considered cancelled/reduced until you have received an email from the hotel which confirms this.
For individual reservations and small group bookings (4 rooms or less): If a booking is cancelled after 3pm on the day which is 7 days before arrival, then a charge equal to 50% of the full booking amount will be made. If a booking is cancelled less than 72 hours before the date of arrival, then a charge equal to the full booking amount will be made.
For large group bookings (5 rooms or more), functions, and exclusive hire: If a booking is cancelled after 3pm on the day which is 28 days before arrival, then a charge equal to 50% of the full booking amount will be made. If a booking is cancelled after 3pm on the day which is 7 days before arrival, then a charge equal to the full booking amount will be made.
Bookings via a third party: If you have booked your stay with a third party, and not with us directly, we are unable to cancel your booking on your behalf and you will need to cancel directly with the company with which you booked. Until you have cancelled with them, your booking will remain in our system, and you will be responsible for any payments until we receive confirmation that your booking has been cancelled. We acknowledge all cancellations that come to the hotel and, until you receive a cancellation notification from us, you should consider that your booking is still in place with the hotel.
We advise guests to take out appropriate insurance against cancellations.
Price Changes
Stone House Hotel reserves the right to increase or decrease the price of unsold rooms at any time. The price of your chosen room will be confirmed when your booking is made and, with the exception of material error, we will not increase or decrease your reservation price once it has been confirmed.
Amendments To Your Booking
You should notify us of any amendments to your confirmed booking by telephone or by email as soon as possible. This can be done by calling the reception team on 01969 667571 or emailing them at [email protected]. Amendments are subject to availability, and the relevant cancellation policy above may apply.
Arrival and Departure
Check-in time is between 4.00pm and 10.00pm, but earlier or later check-in times may be available by prior arrangement.
On the day of departure, please vacate your room before 11.00am so that we can prepare the room for our next guests. Late check-out may be available by prior arrangement.
Any remaining balance for services, food and drink will be taken at the point of check-out. In the absence of the guest, payment will be taken from the card used to secure the booking.
The hotel front door is locked at around 11pm each night. If you are leaving the building, please ensure that you have your room card with you to enable you to re-enter after this time.

Gift Vouchers
We offer monetary gift vouchers which can be purchased via our reception team at [email protected].
Please note that you are unable to redeem a Gift Voucher when making an online booking, however we are able to accept monetary vouchers as partial or full payment when you check-out prior to departure. Gift Vouchers are able to be redeemed for a period of 12 months from the date of purchase, and will only be accepted after this time at the discretion of management.
Accessibility
Wheelchair access to the hotel is available upon prior notification. If you require an access-friendly room, please contact us prior to booking so that we can ensure that an appropriate room is available and allocate it to you.
We have a full Access Statement which can be found here or can be emailed by making a request to our reception team at [email protected]. The Access Statement provides detail on the size of our rooms, the height of beds and tables, etc. If you require any additional information, please do not hesitate to contact our reception team who would be happy to help.
It is your responsibility to inform us, prior to arrival, if you have visual or hearing impairments, issues with mobility, or any other relevant conditions so that we can take appropriate measures to ensure your safety and comfort during your stay.
Additional Amenities
Any equipment provided by Stone House Hotel to aid your stay, including but not limited to non-slip mats, irons and ironing boards, and accessibility aids, are used at your own risk and liability.
We cannot be held responsible or liable for any incidents, accidents, damage or injuries that may occur through the use of such equipment.
Children
Children are welcome at Stone House Hotel.
Children aged 16 and under sharing a room with 2 full paying adults are charged a nightly supplement of £30 per child per night, including breakfast. We can provide Z-beds by prior arrangement. Children occupying their own rooms are charged at the full adult rate.
Please note that we are unable to accommodate Z-beds in all rooms, so please let us know if you are travelling with a child or children prior to booking so that we can ensure the correct room is available and allocated to you.
Unfortunately, we are unable to provide cots. If you are travelling with a baby or toddler, please ensure that you make suitable sleeping arrangements (such as bringing your own travel cot) and advise us at the point of booking.
Dogs
Well behaved dogs are welcome at Stone House Hotel.
Dogs are permitted to stay in ground floor bedrooms only and we allow a maximum of 2 dogs per room, unless otherwise agreed at the point of booking.
Please contact the hotel prior to booking if you intend to bring your dog(s) so that we can make sure you are allocated the correct room.
Dogs are allowed in all public spaces of the hotel, except for the restaurant. Certified Service/guide dogs are permitted throughout the hotel. Dogs must not be left unattended, save that they may be left in the bedroom while the guest is dining in the restaurant or spending time in the bar/one of our public areas.
Dogs are to be kept on a lead at all times while in the hotel’s public spaces and grounds. Dogs may be walked on a lead in our carpark and throughout the grounds.
In the event of damage or breakage caused by visiting dogs, we reserve the right to charge for any additional cleaning and/or items damaged or broken. The full room rate will be charged should we be unable to re-let it due to damage caused, for the period that the room remains unlettable.
Any dog fouling will be the pet owner’s responsibility, and the appropriate charges will be applied to your room account if it is not disposed of correctly. Pet waste disposal bins are located across the outdoor areas.
Parking
Free car parking is available in our private car park at the rear of the building.
There is an electric car charging point which guests are welcome to use. A usage charge will be added to your bill and is payable at check-out. Please ask at reception for details, prior to attempting to use the charging point.
All cars and belongings are left entirely at the owner’s risk, and Stone House Hotel is not liable for theft or any damage caused.
Taxes
All prices include Value Added Tax (VAT) at the prevailing rate.
Smoking
For the comfort of all our guests, smoking is not allowed anywhere inside the hotel, its conservatories, or its outbuildings. This includes the use of e-cigarettes.
Guests are however permitted to smoke in the outside areas, but are requested to do so an appropriate distance away from the hotel’s doors and windows and from other guests.
Guests are requested to avoid smoke entering the hotel or disturbing other guests.
Any guest found not to be complying with this smoking policy will incur a fine to cover cleaning charges and loss of revenue from smoke-smelling/damaged rooms.
We reserve the right to charge the full room rate should we be unable to re-let the room as a consequence of smoking in (or near) the room.
Damage and Removal
By making a booking, you are accepting responsibility for any damage or loss caused by yourself or a member of your party.
We reserve the right to charge our guests for any damage caused, including but not limited to the appearance, decoration or fabric of the building, its contents or furniture, grounds, roadways, or car park. The charge will reflect the labour, time and materials required to make the repairs.
We reserve the right to charge guests the cost of replacing any items that are damaged or removed from the hotel without consent. The charge will reflect the full repair or replacement of the item, including any carriage charges.
Full payment for any such damage or loss must be paid immediately on demand. If you fail to make payment, you will be responsible for meeting the cost of any claims subsequently made (together with our own and any other party’s full legal costs) as a result of your actions.
Disturbances
Guests are expected to conduct themselves appropriately at all times and to comply with all hotel policies, procedures and requests with regard to conduct, respect for other guests, the property of the hotel or its employees, and health and safety.
We respectfully ask that guests do not disrupt the comfort and enjoyment of other guests or the smooth running of the hotel, or cause offence to other guests or our members of staff.
Conduct/behaviour that we reasonably consider inappropriate/unacceptable includes, but is not limited to, creating an inappropriate level of noise, drunken or unruly behaviour, or any behaviour which other guests or staff find offensive in any way.
We reserve the right to refuse accommodation or services or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this necessary. Where this is the case, we shall be under no obligation to refund you for accommodation, other services or any other loss or expense incurred.
Resident guests are responsible for any non-resident visitors. Non-resident visitors are only permitted until 11.00pm, unless a later time has been agreed by management.
Lost property
Any lost property, if discovered, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners, we accept no responsibility for replacing lost items, and encourage guests to ensure they have all their belonging before checking out.
Where practical, we may offer to post lost items at the cost of the property owner, otherwise collection can be arranged.
Complaints
If you are dissatisfied with any aspect of your stay, we encourage you to bring your concerns to the attention of the duty manager at the hotel as soon as possible during your stay so that all reasonable efforts can be made to rectify the situation.
